Description:
The Operations & Sales Supervisor is responsible for managing the coordination, communication, and execution of both operational workflows and customer-facing sales activities. This role serves as a critical link between customers, field operations, and internal teams, ensuring projects are accurately quoted, properly scheduled, and executed efficiently from initial inquiry through project closeout. The Operations & Sales Supervisor plays a key role in protecting margins, maintaining customer satisfaction, and ensuring operational commitments align with sales promises.
Essential Duties:
Customer Sales, Quoting & Bidding
- Act as a direct point of contact for customers regarding project inquiries, scope clarification, pricing, and scheduling
- Prepare, present, and communicate quotes and bids directly to customers in a clear, timely, and professional manner
- Gather project details from customers including scope, quantities, site access, timelines, and special requirements
- Develop accurate estimates and bids that align with operational capacity, equipment availability, and crew scheduling
Scheduling & Calendar Management
- Manage the confirmation and accuracy of the operations calendar and job schedule
- Confirm all scheduled jobs, resources, and timelines
- Review the schedule daily and proactively identify conflicts or gaps
- Ensure clear communication when tentative events are added to the calendar
- Maintain alignment between sales commitments and operational capacity
Job Confirmation & Readiness
- Confirm scope, timing, access, materials, and special considerations
- Ensure crews receive clear, complete job details before mobilization
- Create and maintain job maps and routing plans
- Serve as the primary point of contact for crews regarding job information
Sales Order & Project Setup
- Input and verify sales orders in the system
- Ensure job details, pricing, and scope align with customer expectations
- Coordinate with sales and leadership to resolve discrepancies
Project Closeouts
- Close out completed projects in the system accurately and on time
- Confirm job details, completion notes, and documentation
- Coordinate with leadership to resolve discrepancies before billing
- Ensure timesheets are accurate, complete, and submitted on time
Safety & Compliance
- Follow all OSHA regulations that pertain to your job
- Act as a key liaison between leadership and safety partners
- Communicate safety topics, updates, and expectations to field crews
- Coordinate ordering of PPE, apparel, and required safety equipment
- Support safety initiatives and reinforce compliance in daily operations
- Report any work hazards to your manager immediately
- Participate in all safety protocols and procedures training that are relevant to your position
- Report and document all work related job injuries and accidents on Rexius provided form
- Attend and participate in annual safety training
Hiring & Onboarding Support
- Participate in applicant review and hiring discussions
- Coordinate with leadership and HR on onboarding communications

Education / Experience:
- High school diploma or equivalent
- Minimum of 3-years relevant experience in business operations
Special Requirements/Certifications/Licenses:
- Oregon Driver’s License
- Class A CDL Certification (Preferred)
Physical and Environmental Requirements:
- May be required to lift up to 50 lbs.
- Hand-eye coordination and hand, arm, and finger mobility for detailed work with objects.
- Active movement throughout the day: sitting, walking, standing, squatting, bending, stooping, reaching, etc. (not a sedentary position).
- Vision: close vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
- Hearing: able to satisfactorily communicate with customers, owners, and other staff members to ensure that verbal communication is clearly understood, particularly during emergency situations.
- Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or operate equipment.
- Exposure to moderate noise levels.
- Exposure to hectic, fast-paced, high anxiety environments.
